Onboarding & Team Invites

This guide explains how to activate a workspace and bring users in with the correct access model.

Initial setup

Your first login should complete these steps:

  1. Sign in and verify your account email
  2. Complete profile details (user + organization)
  3. Open documents flow and choose your primary source:
    • Local folder (manual session mode), or
    • Google Drive (consent-based connector)
  4. Process one document and confirm fields before registry actions

First-time setup

first-time-setup is the same activation flow as initial-setup and is kept for compatibility with existing links.

Invite policy

Current product behavior:

  • Only Owner can send invites
  • Invites are single-use and expire automatically
  • Non-owner users see read-only team access state

How to invite

  1. Open SettingsTeam access
  2. Enter invitee email
  3. Select role
  4. Send invite

Supported invite roles in current flow:

  • admin
  • accountant
  • auditor
  • bank

Role changes and removals

Owner can:

  • change a user role,
  • remove a member,
  • control access scope for pilot operations.

Use least-privilege for external pilot users.

Common onboarding issues

Invite not received

  • Check spam/junk
  • Verify email spelling
  • Resend invite from Settings

Invite expired

  • Owner must issue a new invite

Access denied after sign-in

  • Confirm account role and invite email match
  • Ask Owner to review role scope
  • See Roles & Access

Storage source not available

  • Reconnect Google Drive consent
  • Reselect folder binding
  • Or use local folder mode
