Onboarding & team invites

This page walks you through activating a fresh workspace and bringing your team in with the right access model. Plan thirty minutes for the first run.

Initial setup

The first login should cover these four steps:

  1. Sign in and verify the account email.
  2. Complete the profile — user details and organization fields.
  3. Open the Documents flow and pick a primary source:
    • a local folder (manual session mode), or
    • a Google Drive folder (consent-based connector).
  4. Process one document end to end and confirm the extracted fields before any registry action.

That is the minimum bar for "the workspace works on my data" — and the right moment to stop, breathe, and only then invite the rest of the team.

First-time setup

first-time-setup is the same activation flow as initial-setup. The anchor is kept for compatibility with older deep links.

Invite policy

Current product behaviour:

  • Only the Owner can send invites.
  • Invites are single-use and expire automatically.
  • Non-owner users see read-only team-access state.

How to invite someone

  1. Open SettingsTeam access.
  2. Enter the invitee's email.
  3. Select a role.
  4. Send the invite.

Available roles in the current invite flow:

  • admin
  • accountant
  • auditor
  • bank

Role changes and removals

The Owner can:

  • change a user's role,
  • remove a member,
  • adjust access scope as the pilot evolves.

Same principle as before: start narrow, widen with confidence.

Common onboarding issues

Invite not received

  • Check the spam / junk folder.
  • Verify the email spelling.
  • Resend the invite from Settings.

Invite expired

The Owner needs to issue a new invite. Old invites cannot be revived.

Access denied after sign-in

  • Confirm the account role and the invite email match.
  • Ask the Owner to review role scope.
  • See Roles & access.

Storage source not available

  • Reconnect Google Drive consent.
  • Reselect the folder binding.
  • Or fall back to local folder mode.
